Job Description:

Position Summary
The Administrative Coordinator supports the organization’s core office functions and financial administration. This role interfaces with Women’s Funding Alliance’s entire staff team, as well as our volunteers, partners, and vendors. The position requires proactive and effective communication and planning, attention to detail, and strong customer service skills.
 
Position Type
Part-time (regularly scheduled to work 20 hours/week, some evening and weekends, as needed). Non-Exempt.

Responsibilities
 
Office Administration
  • Act as primary receptionist and oversee mail distribution.
  • Oversee office equipment needs; troubleshoot problems; utilize service as necessary to ensure equipment is functional.
  • Maintain the office and kitchen in a neat and orderly condition. Make recommendations for office improvements. Inventory, purchase, and manage office supplies.
  • Maintain filing systems for documents (electronic and paper). Implement and follow document retention policies.
  • Along with the Senior Manager of Finance and Operations, develop and expand administrative systems to meet increased organizational needs.
Executive Support
  • Provide support to CEO and directors as needed with respect to scheduling meetings, managing paperwork, and special administrative projects.
  • Provide support for board and committee communications and meetings.
Financial Administration
  • Assemble and review payroll documents for use by bookkeeper.
  • Process payments to vendors, ensuring proper coding, documentation, and filing.
  • Make deposits to bank, primarily using remote deposit system, and create deposit batches for use by bookkeeper.
Additional Project Support
  • Perform other duties as assigned.
Qualifications
  • Excellent organizational skills and attention to detail, particularly in written and verbal communications.
  • Strong computer skills, including Excel, Word, and Outlook.
  • Ability to work independently and manage deadlines and competing priorities.
  • Adept at solving problems.
  • Flexibility, good team player, sense of humor.
  • At least one year of experience working in an administrative role.
  • BA degree or equivalent combination of education and work-related experience.
Salary and Benefits
This position offers a compensation range of $16-18/hour, DOE.
Vacation, sick leave and holiday are provided on a prorated basis.
