PHILANTHROPY COORDINATOR JOB DESCRIPTION
The Philanthropy Coordinator is a member of the Philanthropy team and will report to the Director of Philanthropy in the Bremerton area. The Philanthropy Coordinator is charged with the responsibility of organizing, implementing, and coordinating activities related to the BGCSPS resource development process including Boys & Girls Clubs of America (BGCA) and Boys & Girls Clubs of Washington(BGCWA) grant process, event coordinating, event procurement, Blue Door Club, donor stewardship, and administrative support. This is a 1.0 FTE (40 hours per week) with occasional additional hours due to events.
 
RESPONSIBILITIES
 Event Support:
  • Manage auction procurement system for the three (or more) signature events across the organization’s footprint, including the discovery, cultivation, solicitation and stewardship of donors that results in securing compelling, interesting and creative procurement items
  • Provide support to all organization events including data entry, RSVP processing,  registration and post event duties
  • Event volunteer management
  • Manage event logistics, tasks and timeline in support of Treasure Hunters annual event
 
Donor Stewardship:
  • Prepare or direct preparation of material for donors and donor prospects
  • Maintain relationships with collaborative partners and cultivate new ones
  • Work with program staff to coordinate community outreach and partner events in support of BGCA and BGCWA grants
  • Support Thank A Donor event
  • Draft correspondence, mailings, and mail merges
  • Scheduling and correspondence related to tours
  • Donor Recognition in various forms
 
Resource Development:
  • Manage BGCA and BGCWA grant process, including tracking current grants, review new grant opportunities, work with Program Directors to gather Club information, prepare grants and reports in a timely manner with revenue goal of $30,000
  • Support special initiatives such as the North Mason Teen Center Campaign and Blue Door Club
  • Manage prospect lists and document strategies and action steps required as directed
  • Assist in general grant preparation and reporting
  • Provide and anticipate administrative support for development initiatives to include meeting preparation, agendas, notes, presentations and follow-up
  • Respond to donor inquiries and donations in a prompt and courteous manner
  • Research potential individuals, corporate and foundation donors as identified and directed by Development Directors for general operating support
  • Ensure personal accountability for meeting deadlines and responding to volunteers and other department requests
 
POSITION REQUIREMENTS
Required:
  • Strong written and verbal communications skills
  • Commitment to high level of professionalism, customer service and integrity in all interactions
  • Ability to establish and maintain effective working relationships with club colleagues, volunteers, community members or others
  • Ability to maintain confidentiality
  • Experience working  in an office environment
  • Excellent organizational skills and project management abilities
  • Knowledge and proficiency in computer software; familiarity with databases, excel, word, PowerPoint
  • Extremely organized individual who has the ability to multitask and prioritize, with a strong attention to detail and maintaining accuracy
  • Self-starter who can follow through independently with limited direction
Preferred:
  • Two year degree or equivalent combination of education/relevant work experience
  • Knowledge of the mission and objectives of the Boys & Girls Clubs
  • Demonstrated success in coordination, supervision and training of volunteers
  • Experience with computerized record keeping systems to include accessing and utilizing donor database
  • Knowledge of Raiser’s Edge or other fund management software
Physical Requirements/Work Environment
  • Ability to work a flexible schedule, which may include evenings, weekends and/or holidays.
  • Valid driver’s license and agency required vehicle liability limits and dependable vehicle.
  • The position regularly involves sitting, talking, hearing, walking, standing, bending, lifting, reaching, keyboarding, grasping, pulling and driving.  This position will require working around adults in a professional open office environment with occasional work around youth at events or in the Clubs.
  • Must pass national criminal background check.
