Job Description & Key Responsibilities

The Sr. Finance & Operations Manager will work closely with the Executive Director and the Board to maintain proper financial, programmatic and organizational accountability in a dynamic, growing organization. S/he will be responsible for the infrastructure and systems needed to support SVP’s strategic objectives, including accounting & financial reporting, information technology, human resources and general office operations.

Financial Management (60%)

• Responsible for ensuring the day-to-day accounting functions are completed accurately and timely, including but not limited to basic bookkeeping, vendor payables, partner receivables and cash receipting, payroll, credit card and bank reconciliations as well as month end close
• Administer & process employee payroll and benefits
• Manage cash flow and forecasting
• Manage financial activity related to restricted funds and prepare financial reporting, as needed
• Oversee budgeting, and the implementation of budgets, so as to monitor progress and present operational metrics both internally and externally
• Support the Executive Director in long-term budgetary planning and cost management
• Act as a liaison to the Board of Director’s finance committee
• Prepare all financial reporting materials and metrics used by the management team and finance committee on a monthly and annual basis
• Create and recommend financial related policies on banking, cash management, internal controls and fiscal matters.
• Works with the Board selected CPA firm to coordinate and complete an annual financial audit and 990 filing with the IRS
• Ensures that SVP is in compliance with all tax laws and filings
• Work closely with the partner engagement team to ensure the financial system is routinely reconciled with the donor management system and business processes for managing partner receivables are efficient and sustainable
• Represent the organization to donors, key stakeholders and the public, as needed

Human Resources (10%)

  • Responsible for compliance with all state and federal laws related to human resources
  • Coordinate and manage all hiring processes at SVP
  • Responsible for employee onboarding for benefits, employee guidelines and payroll
  • Maintain personnel files for all staff
  • Coordinate the annual performance review process to ensure timely completion
  • Support the Executive Director in a periodic review of SVP’s compensation philosophy and perform an annual market analysis of salaries
  • Work with management, staff and outsourced HR consultant to resolve personnel issues as they arise

Information Technology (20%)

  • Serve as the liaison between SVP staff and outsourced IT support
  • Coordinate resolution to any IT related issues for the office and staff
  • Work with vendors and maintain contracts for IT systems including, but not limited to phone system, video conferencing solution, copier, etc.
  • Employee onboarding logistics and technology support (e.g. set new employees up with a phone, computer, keys, etc.)
  • Manage staff email accounts and list serves
  • Keep track of the IT hardware inventory and assess when replacements are needed

Operations & Board of Directors Support (10%)

  • Office operations, space planning, supplies and vendor management
  • Kitchen and appliance maintenance, ordering supplies and stocking beverages
  • Manage all logistics for Board and Committee Meetings, including but not limited to: scheduling, catering, attendee tracking, nameplates, conference call set-up, etc.
  • Maintain an electronic filing system of all board and board committee related materials, included but not limited to completed conflict of interest statements, board commitment forms and board minutes
  • Maintain current Board and Committee Roster in Salesforce and shared drive
  • Manage online platform for document sharing (Office 365)

Perform other related duties as required or assigned

Required Qualifications & Success Factors  

Candidates for the Sr. Finance & Operations Manager role should meet the following criteria.

Qualifications Required:

  • High School Diploma plus 5-7 years of relevant work experience OR Undergraduate degree in Accounting or Finance
  • 5+ years of relevant work experience in nonprofit financial management and accounting
  • Minimum 5 years of progressive experience with strategic and hands on management of daily operations of a nonprofit, foundation or business; at least 2 years of direct interface and support of management/Board of Directors required
  • Analytical skills and experience interpreting a strategic vision into an operational model
  • Strong interpersonal and relationship skills
  • An effective communicator, with strong oral and written skills.
  • Demonstrated resourcefulness in setting priorities, managing time and proposing new ways of creating efficiencies
  • Flexible and a self-starter; able to multi-task while also being highly detailed oriented
  • Personal qualities of integrity, credibility, and a commitment to SVP’s mission
  • Ability to work well independently and as a collaborative team member
  • Comfortable with MS Office Suite, particularly Outlook, Excel, Work, Powerpoint, and with learning new software
  • Reliable transportation and flexibility to attend occassional evening meetings and events
  • Must be able to communicate easily and clearly in English
  • Must be able to legally work for any employer in the United States of America

Qualifications Desired:

  • A licensed CPA or master’s degree
  • Experience managing volunteer committees and individual volunteers
  • Ability to communicate financial analysis, data and concepts to non-finance staff and board.

  • Physical Demands- Majority of the time (about 60%) spent in the office, working on the computer/keyboard and/or on the phone.  Remaining time walking around office, assisting coworkers, attending internal meetings; reach with hands or arms; balance; stoop/bend; talk and hear; may lift to 20lbs
  • Work Environment- Well lit, minimal noise level when in open office, carpeted floors, shared hallway, with some natural light; various modes of transportation required, with travel locally to attend work related events; some exposure to different environmental conditions when travelling.

Compensation and Benefits

This is an exempt position with an annual salary range of $72,000 to 78,000.

Excellent employer paid benefits include 403(B) with 5% employer match, plus medical/dental/vision coverage with disability insurance. 

We also offer a generous vacation package that includes three weeks of paid vacation, plus two personal days, standard holidays, and a week off between December 25 and January 1.
