Founded in 1985, NW Children’s Foundation is based in Seattle, Washington. Our grantmaking, events and programs focus on prevention, intervention and treatment programs aimed at ending the intergenerational cycle of child maltreatment and helping children and families to thrive. Our grants support a range of high-performing nonprofits and our education and policy events bring leaders together to facilitate collaboration and improve child outcomes. NWCF’s Executive and Associate Director and a strong Board of Directors have led the organization to new levels of growth, and the eight-person-and-growing office is ready for a seasoned administrative pro to function as the informational and administrative hub for the organization, supervise and support staff, and ensure efficient and effective workflow and process.

A new position at NWCF, the Operations Manager will touch every aspect of our organization, including data collection and reports; coordination, supervision and support of staff and vendors; assisting with communications and events; and supporting our extensive board and partners. We seek a true “do it all” professional who takes initiative, solves problems, and takes pride in running a high-performing office that runs without friction, drama, or surprises.

Position Description

Major Duties
  1. Function as the administrative hub of the organization
  2. Train, supervise and support staff as assigned
  3. Ensure efficient, effective workflow
  4. Serve as NWCF’s operational backstop
Key Responsibilities

Administration
  1. Oversee internal communication channels to ensure all staff remain aware of and engaged in organizational progress.
  2. Manage NWCF’s donor, event and grantmaking databases.
  3. Manage the production of organizational reports, dashboards, and other communications.
  4. Ensure timely, efficient resources are available to all staff, volunteers and board members.
  5. Create and/or update employee handbooks, guides and resources.
  6. Maintain records as per agency data and security guidelines and organize data, files and copies efficiently for ease and accuracy of access.
  7. Maintain physical office space for maximum functionality and efficiency, and to present a professional and welcoming front to visitors and employees.
Staff Management
  1. Oversee and support all administrative and operational staff to ensure positive, equitable and efficient work environment.
  2. Predict, manage and solve barriers to an engaging and supportive workplace.
  3. Oversee and administer operations staff professional development.
Workflow Optimization
  1. Apply lean principles to maximize workplace efficiency
  2. Ensure that work and information flow is optimized to meet organizational goals.
  3. Preserve and protect the time and attention of executive staff while exercising accurate judgement on when operational, staff and/or administrative issues need their involvement.
Other Duties
  1. Other duties as assigned by the Executive or Associate Director
Qualifications:
  1. College degree and a minimum of 5 years experience managing the entire administrative operation for a team of at least 10-15 people.
  2. Outstanding written and verbal communication skills. 
  3. Exceptional interpersonal and teamwork skills.
  4. Ability to manage multiple, time-sensitive projects in a fast-paced environment.
  5. Resourcefulness, creativity, and problem-solving skills.
  6. Demonstrated personal integrity and ability to handle confidential information with perfect accuracy.
  7. Excellent computer skills and facility with MS Office applications and databases.
Compensation:
  • $55-65K salary (depending on experience and qualifications) plus benefits allowance equal to $6,600 per year.
